Deal Pipeline (Kanban)

  1. Open Deal Pipeline (Kanban) from the sidebar — six columns: New Prospect, Pitching, Costing, Quoted, Booked, and Lost.
  2. Click + Create New Deal and fill in Customer, Deal Title, Route, Mode, Incoterm, Expected GP, Win Chance %, and Sales Rep, then save.
  3. The deal appears as a card in New Prospect. Drag and drop the card across columns as it progresses.
  4. Moving a card into Booked automatically creates a matching record in the Shipment Ledger, so there's no need to re-type it.
  5. Click any card to edit its details, add notes, or delete the deal.
  6. Watch the GP total shown above the Quoted and Booked columns, and the month-end reminder banner near the end of each month.

Client Database

  1. Open Client Database from the sidebar.
  2. Click + Add Customer and enter Company Name, Address, and Sales Rep.
  3. Add one or more contacts (Name, Phone, Email) using the + button to add more rows, then save.
  4. Use the search box above the table to filter customers by name.
  5. Click any customer row to open the Customer 360 panel on the right, showing shipment count, active deals, total GP, last shipment, and GP by year.
  6. Use the row's Edit or Delete actions to update or remove a customer.

Shipment Ledger

  1. Open Shipment Ledger from the sidebar and review the KPI strip — Total Shipments, Avg GP Margin, Total Revenue, and Total GP.
  2. Expand Ledger Dashboard & Charts for top customers, customs and transport job ratios, and the annual overview.
  3. Click + Add New Shipment and fill in Date, Customer, AWB/BL, Job No., Mode, POL/POD, Agent, Volume, Carrier, ETD/ETA, Term, Customs/Transport flags, Cost, Selling, and Remark.
  4. Save — the system warns you if the Job No. already exists in the ledger.
  5. Use the filter bar to narrow the records table by Customer, Mode, Profit, or Salesperson.
  6. Use Import Excel to bulk-upload shipments, or Export to download the ledger.

Cold Call

  1. Open Cold Calls from the sidebar.
  2. Click + Add Cold Call and fill in Company, Contact Person, Phone, Call Date, First Call Details, Follow-up notes, Win % estimate, and Sales Rep.
  3. Save — the record appears in the table; use Edit or Delete in the Action column to manage it.
  4. When a cold call turns into a real prospect, click Convert to Client to push it straight into Client Database without retyping the contact.
  5. Use Export to download all cold call records to Excel.

Customer Meeting

  1. Open Customer Meeting from the sidebar and toggle between Calendar and List view.
  2. Click + Add Meeting and fill in Customer, Date, Time, Address, Objective, and Sales Rep.
  3. Set Status to Appointed, Completed, or Cancelled. Choosing Completed requires a Summary or Notes entry before you can save.
  4. Save — the meeting appears on the calendar, color-coded by status, and in the list view.
  5. Use the week navigation arrows to move between weeks, or click any meeting to edit it.

Booking Instruction

  1. Open Booking Instruction from the sidebar.
  2. Fill in the Shipment Details — Customer, Mode of Transport, Incoterms, POL/POD, ETD/ETA, Commodity, Weight/Volume, Carrier, Agent, Profit Sharing, and Remarks.
  3. Tick the relevant Service Scope items (Book Freight, Customs Export/Import, Transport, Packing, Warehousing, Form CO, Insurance, Loading, Labor, Cross Docking, Others) and add a detail note for each.
  4. Tick which Documents are attached (Quotation, Accrual P&L, CI & PL, Reserved Booking, Cost from Agent, MSDS, Other) and select the Sales in Charge.
  5. The panel on the right builds a live, email-ready summary as you fill in the form.
  6. Use Copy Text to paste it into your own email, Draft Email to open it directly, or Save to keep it in Recent Booking Instructions.

Overseas Agent

  1. Open Overseas Agents from the sidebar.
  2. Use the search box and the Country and Priority filters to find an agent.
  3. Admins and Managers can click + Add Agent and fill in Country, Company, Address, Contact Person, Phone, Email, Specialty, Priority, Network Group, and Remarks.
  4. Save — the agent appears in the directory table.
  5. Use Export to download the full agent list to Excel.

Sales Simulations

  1. Open Sales Simulation from the sidebar — three tabs: Team Overview, Accounts, and Sales Team.
  2. Team Overview shows GP per month, annual GP, active accounts, top account, and a 12-month projection chart.
  3. On the Accounts tab, click + Add Account, assign a salesperson and status, then click each month cell from January to December to type a projected GP. The Annual Total updates automatically.
  4. On the Sales Team tab, click + Add Salesperson, then click a rep's card to see their own 12-month projection and account list.
  5. Click Save to keep your simulation, or Export Excel and Export JPG to share it.

Marketing Email Prompt

  1. Open Marketing Email Prompt from the sidebar.
  2. Pick a Template Type on the left, such as Intro, Follow Up, Feedback, or Meeting, and select a template.
  3. Fill in Prospect Info, including Company Name, Contact Person, Industry, Service to Highlight, and Additional Notes. The Prompt Preview on the right updates live.
  4. Make sure Our Company Detail is filled in once by an Admin or Manager — it's reused automatically in every prompt after that.
  5. Click Copy to copy the finished prompt, then paste it into Gemini, ChatGPT, or Claude using the shortcut buttons at the top to generate the email or slide outline.

Quotes

  1. Open Quotes & Pricing from the sidebar and stay on the New Quotation tab.
  2. Pick the freight mode — Ocean Export/Import, Air Export/Import, Road, Customs, or International — and the layout adjusts to match.
  3. Fill in the document header (Quote Ref, Date) and add Local Charges, Freight, and Destination charges line by line. Use the Calculator for CBM or chargeable weight if needed.
  4. Switch between Quote and P&L view to check your margin before sending.
  5. Click Save to store the quotation, or export it as PDF, JPG, or Print.
  6. Check My Quotations or All Quotations to track status and reuse past quotes.

Pricings

  1. Open Quotes & Pricing from the sidebar, then click the Pricing tab.
  2. Switch between the Ocean Rates, Air Rates, and Local Charges sub-tabs.
  3. Use the search box and the POL, POD, Carrier, Direction, and Month filters to find an existing rate.
  4. Admins, Managers, Pricing, and CS roles can click + Add Rate to add a new rate, or Import to bulk-upload from a CSV — download the Template first to match the format.
  5. Use Export to download the current rate list, and reference these rates while building a New Quotation.

Expenses

  1. Open Expense Claim from the sidebar and stay on the Claim Form tab.
  2. Fill in Job Title, Claim Period, and Submission Date.
  3. Add rows under Local Transportation, which uses the company fuel rate per km automatically, along with Public Transport/Parking, Business Entertainment, and Other Expenses. Each row needs a Date, Description, Purpose, Customer, and Amount.
  4. Review the Grand Total strip, then sign in the Applicant signature box.
  5. Click Save Draft to keep working on it later, or Submit Claim to send it for approval by the Head of Department and Country Manager.
  6. Check My Claims to track approval status. Admins and Managers use All Claims to review and approve team submissions.

Voice of Customer

  1. Open Voice of Customer from the sidebar.
  2. Click Feedback to log general feedback, including Date, Client, Category, Sales Rep, Details, and the Action or Response taken.
  3. Click the thumbs-up icon to log a compliment, or the thumbs-down icon to log a complaint. Both use the same simple form.
  4. Save — entries appear in the list, organized by customer so the team can spot recurring issues.
  5. Use the Edit action to update an entry once it's resolved or a follow-up is added.

Reports

  1. Open Reports from the sidebar.
  2. Review the Annual Accumulation strip — YTD Actual GP versus Annual Target and the achievement percentage.
  3. Admins and Managers can expand Manual Sales Data Entry to set a monthly Sales Target and Target Jobs per rep. Actual figures are pulled automatically from the Shipment Ledger.
  4. Check the Monthly GP vs Target and Jobs vs Target charts, plus the GP and shipment-count breakdown by mode.
  5. Scroll down for the Deal Pipeline GP and win/loss ratio.
  6. Use the export buttons for Deals, Clients, Ledger, or PowerPoint to download data or build a presentation-ready report.
